Annakosha Pvt. Ltd is committed to offering reliable, high-quality private labeling solutions in healthy snacks like flavored makhana, nuts, millet snacks, and trail mixes. To ensure clarity and consistency in all our partnerships, the following policies apply to all private label clients.
1. Product Quality, Packaging, and Supply Specifications
1.1 Product Quality Assurance
- All products undergo rigorous quality checks at multiple stages of manufacturing.
- Manufacturing is done in FSSAI-certified, hygienic, and tech-enabled facilities.
- Clients can request detailed Product Specifications, COAs (Certificate of Analysis), shelf life details, ingredients list, allergen information, and usage/storage recommendations.if required.
1.2 Product Supply & Specifications
- Product supplied will be as per the specifications, quality standards, and packaging requirements defined by the Buyer.
- The Buyer must provide prior written purchase orders (POs) specifying quantity, product type, flavor, quality standards, packaging design, and required delivery schedule.
- The Seller shall ensure that all finished products are packed as per the Buyer’s specifications, including design, weight, MRP, nutritional info, and barcode.
2. Minimum Order Quantity (MOQ)
At Annakosha Pvt. Ltd., we offer a flexible MOQ policy, including the option of Zero MOQ based on the type of product and packaging requirements.
- Zero MOQ refers to the availability of low-order quantities; however, such orders will attract premium processing charges to account for setup, customization, and handling costs.
- The final processing charges may vary depending on the quantity ordered and the complexity of the product or packaging.
- For new product development, MOQ requirements may differ and will be communicated on a case-by-case basis after evaluating the feasibility and production scope.
3. Packaging & Design
3.1 Packaging Materials
- Packaging can be supplied by the Buyer or procured by Annakosha (costs billed separately)
- Clients can share their own ready-to-print packaging designs which can be printed by the seller at their end and its costs will be accounted for in the final product cost.
- MOQ for custom packaging depends on material type and will be shared in advance
3.2 Legal Compliance
All packaging must meet FSSAI and legal labeling norms, including:
- License number, net weight, MRP, batch, expiry, ingredients, allergens, and barcode
- Annakosha supports compliance checks, but final responsibility rests with the client.
3.3 Final Approval
- Written approval is required before printing and production
- Post-approval changes will incur extra costs and may delay production
4. Payment Terms
To ensure smooth operations and financial transparency, the following payment structure shall apply to all private label clients:
- 60% Advance Payment: This is required at the time of order confirmation. It enables us to initiate raw material procurement, production planning, and packaging preparation.
- 40% Balance Payment: To be made prior to dispatch, after final quality checks (QC) are completed. Dispatch will not proceed until the full payment is received.
- Accepted Payment Methods:
- Bank Transfer (RTGS/NEFT)
- UPI
- Cheque (only for verified clients, with clearing time considered)
- Any other mode as per prior mutual agreement
Failure to adhere to the agreed payment terms may result in production delays or withholding of shipment.
5. Shipment & Logistics
Logistics and transportation responsibility lies primarily with the client (buyer). However, we offer full support in recommending or coordinating with reliable logistics providers upon mutual agreement.
- Standard dispatch time is 7–12 working days from confirmation & payment, depending on product and volume.
- Freight is chargeable extra and borne by the client unless otherwise agreed.
- Delays due to third-party logistics will be communicated proactively.
6. Returns & Replacement Policy
At Annakosha, we value long-term relationships and product satisfaction. However, due to the nature of food products, returns and replacements are limited to the following conditions:
Eligible for Returns/Replacement:
- Quality-related issues (must be supported with product samples and photographs)
- Incorrect SKU/flavor or mismatch from the PO
- Damage in packaging at the point of dispatch from our facility (must be reported with images within 7 days)
Claim Process:
- Complaints must be raised within 7 days from the date of delivery.
All claims must include:- Purchase invoice
Photos of the product and packaging - Sample (if applicable)
- Purchase invoice
- Once verified and approved, replacements will be dispatched within 7 working days.
Not Eligible for Returns/Replacement:
- Complaints raised after 7 days of delivery
- Improper storage, transit damage by third-party logistics (if arranged by the client)
- Consumer misuse or mishandling
Beyond the 7-day window, Annakosha Pvt. Ltd. will not be held responsible for any quality claims or replacement requests.
7. Custom Product Development
- We support recipe development or customization based on your market needs.
- Minimum development time: 1-2 months(which may vary) including sample testing.
- R&D and sample shipping charges are applicable and non-refundable.
- Commercial production begins only after written approval of the final sample.
8. Confidentiality & Exclusivity
- Client designs, formulations, and packaging are treated with complete confidentiality.
- Exclusivity for a particular recipe or flavor in a region can be discussed with a minimum sales commitment.
9. Legal Compliance
- All products comply with Indian food regulations (FSSAI). Export documents (like FDA, Halal) can be arranged upon request (additional cost/time may apply).
- Clients are responsible for compliance of packaging laws in their market (especially exports).
- Subject to the dispute resolution clause hereinabove, the courts at Jaipur, Rajasthan, shall have exclusive jurisdiction to settle any disputes which may arise.
10. Communication & Support
- Dedicated key account managers are assigned for project coordination.
- Support available via email, WhatsApp, and phone during business hours.
- Clients can request progress updates, dispatch status, and documents anytime.
